We allow enough time to verify each signer separately and keep private identity information out of ordinary email and web forms.
For recurring work, a consistent request format and point of contact reduce scheduling friction. Notarial acts and any travel, printing, waiting, or after-hours services remain itemized and agreed before each visit or under a documented business arrangement.

Designate a quiet room, scheduling contact, and realistic window for each signer. Share building access, parking, security, signer count, document category, and notarized signature count. For several employees, staggered arrival times can keep the workday moving while still allowing the notary to identify and interact with each signer separately.
The company should determine document content, signing authority, witness requirements, and the requested notarial act before the visit. The notary cannot interpret contracts, corporate resolutions, licensing forms, or employment documents for the participants.
Repeat service without sacrificing privacy
Recurring clients can use a standard request format covering the location, contact, time, signer count, signature count, access, billing reference, and return instructions. Ordinary scheduling messages should not contain identification numbers, private employee records, signatures, or document images.
A consistent workflow improves response time, but each notarial act remains an independent event. Every signer must personally appear with satisfactory evidence of identity and participate willingly.
For a high-volume or deadline-sensitive visit, assign one coordinator to confirm that documents are complete and signers are ready before the notary arrives. If the company needs signed copies, scanbacks, courier delivery, or billing references, include those operational instructions in the request rather than adding them after the appointment begins.
General notary service does not include legal-document preparation, contract interpretation, immigration consulting, or advice about whether an employee, officer, vendor, or customer should sign. Direct those questions to the organization’s attorney or other qualified professional.
